Managing contacts

Add your customers and organize them into lists and tags, search and filter, run bulk actions, validate WhatsApp numbers, and merge duplicates — all from the Contacts page.

What is the Contacts page?

The Contacts page is your customer directory: everyone who has messaged you or whom you've added appears here with their name, number, and status. From one place you can add contacts, organize them into lists and tags, search and filter, run bulk actions, validate numbers on WhatsApp, and merge duplicates.

At the top are three clickable stat cards that act as quick filters: All, Subscribed, and Unsubscribed.

Adding a contact

Click Add contact to open a dialog with:

Phone number Required, in international format without + (e.g. 966531234567)
Language Arabic or English

Each contact is tied to your active WhatsApp account. Click a contact's name to open its detail page.


Lists

Lists group contacts together (e.g. "Riyadh customers" or "VIP customers"). A lists bar sits above the table, and each list has a color and a count of its contacts.

  • Create a list: the New list button — enter a name, an optional description, and a color.
  • Filter by list: click a list's name to show only its contacts.
  • Delete a list: the × on the list (asks for confirmation).

You can add selected contacts to a list or remove them from it via bulk actions (see below).


Tags

Tags are free-text labels that classify contacts (e.g. vip or interested). A contact's tags appear as chips in the Tags column, and you can filter by a tag from the advanced filters.

To add or remove tags across several contacts at once, use Bulk tag in the bulk-actions bar, which has three modes: add, remove, or replace — with tags entered comma-separated.


Search and filters

  • Search: type in the search box and the table filters automatically (shortly after you stop typing).
  • Advanced filters: the Filters button reveals extra options:
    • Language
    • Tag
    • WhatsApp validity: valid / invalid / unknown
  • Sorting: click the Name, Phone, or Added date column header to sort ascending/descending.

When filters are active, a Clear button appears to reset them.


The WhatsApp-validity column

Each row shows a WhatsApp-validity indicator: (valid), (invalid), or unknown for numbers not checked yet. To check selected numbers, select them and use Validate WhatsApp numbers in the bulk-actions bar; afterward it shows how many were checked, valid, invalid, and errored.


Subscription status

Each contact has a subscription status (subscribed / unsubscribed) that controls whether campaigns can be sent to them. Click the status chip in the WhatsApp column to toggle it (asks for confirmation), or toggle it for several contacts at once via bulk actions.


Bulk actions

When you select one or more contacts (via the checkbox), an actions bar appears:

Add to list Adds the selected contacts to a list you choose
Remove from list Removes them from the currently open list (only shown when a list is open)
Bulk tag Add/remove/replace tags on the selected contacts
Subscribe / Unsubscribe Toggles the selected contacts' subscription
Validate WhatsApp numbers Checks the selected numbers' validity on WhatsApp
Delete Deletes the selected contacts (asks for confirmation)

Merging duplicates

The Find duplicates button groups contacts that share the same number. Each group has a Merge button that keeps the first contact (marked "Keep") and merges the rest into it (asks for confirmation). This unifies a single customer's record and prevents duplicate conversations with them.


Export and import

  • Export: the Export button downloads the currently visible contacts (respecting the active filter and search) as a file.
  • Import: the Import button opens a four-step wizard for uploading a CSV/Excel file — see Importing and exporting contacts.
  • Template: the Download template button gives you a ready file with the correct columns for import.

Quick tips

  • Organize customers into lists to target them with focused campaigns, and use tags for finer classification you can filter by.
  • Run Validate WhatsApp numbers on imported lists before sending a campaign to avoid invalid numbers.
  • Use Find duplicates periodically to unify a single customer's records.
  • Respect subscription status: unsubscribed contacts should not receive campaigns.
